Who we are

Horn and Grain is operated by Gtecom LLC, a Wyoming limited liability company. We sell handcrafted Japanese-style wa handles at hornandgrain.com. This policy explains what personal information we collect, why we collect it, and what we do with it.

What we collect

  • Order information — name, email address, shipping and billing address, phone number, and the contents and value of your order.
  • Payment information — handled entirely by our payment provider. We receive a confirmation that payment succeeded, the payment method type, and the last digits of a card where the provider supplies them. We never see or store your full card number.
  • Custom order details — the wood, ferrule, size and shape choices you make, plus the knife measurements and fit notes you send us.
  • Photographs you upload — if you use our configurator or contact us about a custom fit, you may upload photographs of your knife. These are stored against your enquiry so we can build to your blade.
  • Messages — anything you send through our contact form or by email.
  • Account information — if you create an account, your username, email address and order history.
  • Technical and usage data — IP address, browser and device type, pages viewed and referring site, collected through cookies and analytics.

Why we use it

  • To take payment, make your handle, and ship your order.
  • To send order confirmations, dispatch notices and delivery updates.
  • To answer your questions and provide support before and after a sale.
  • To reach you about your order or delivery by phone, WhatsApp or text when email fails — never for marketing.
  • To handle returns, refunds, warranty claims and payment disputes.
  • To meet our tax, accounting, customs and other legal obligations.
  • To detect and prevent fraud and to keep the site secure.
  • To understand how the site is used so we can improve it.

Where the UK/EU GDPR applies, we rely on: performance of a contract for everything needed to fulfil your order; legal obligation for tax and customs records; legitimate interests for security, fraud prevention and site analytics; and consent for marketing email, which you can withdraw at any time.

Photographs you send us

Photographs uploaded for a custom fit are used only to build your handle and to answer your enquiry. We do not publish them, and we do not use them in marketing or on our gallery, unless you give us clear permission first. Uploads that are never attached to an order are deleted during routine cleanup.

Who we share it with

We do not sell your personal information. We share it only with the service providers we need to run the shop:

  • Payment providers — to process payments, refunds and disputes. They handle your card or account details directly under their own privacy policies.
  • Shipping and postal carriers — to deliver your order and provide tracking. Customs forms require your name, address and a description and value of the goods.
  • Email delivery provider — to send transactional email such as order confirmations.
  • Website hosting, backup and security providers — who store site data on our behalf.
  • Analytics providers — see the cookies section below.
  • Professional advisers and authorities — where we are legally required to disclose information, or need to establish or defend a legal claim.

Cookies and analytics

We use cookies that are necessary for the site to work — keeping your cart contents and keeping you signed in. We also use Google Analytics to understand traffic and how visitors move through the site. Analytics cookies record usage in aggregate and are not used to identify you personally.

You can block or delete cookies in your browser settings. Blocking necessary cookies will stop the cart and checkout from working.

International transfers

We are a United States company and our workshop is in Vietnam, so your information is processed in the United States, Vietnam and wherever our service providers operate. When information is transferred out of the UK or EEA we rely on the safeguards offered by those providers, such as standard contractual clauses.

How long we keep it

  • Order and transaction records — at least seven years, because tax and customs rules require it.
  • Custom order specifications and fit photographs — up to three years after delivery, so we can support repeat work and warranty questions.
  • Contact form messages and email — up to three years.
  • Marketing contacts — until you unsubscribe.
  • Analytics data — according to the retention period set in our analytics account.

Your rights

Depending on where you live, you may have the right to request a copy of the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, to receive it in a portable format, and to withdraw consent. Residents of California and other US states with privacy laws have comparable rights, including the right not to be discriminated against for exercising them. We do not sell or share personal information for cross-context behavioural advertising.

To make a request, email hello@hornandgrain.com. We will respond within the time your local law allows, normally within 30 days. We may ask you to confirm your identity first. Note that we cannot delete records we are legally required to keep, such as completed transaction records.

Children

Our products are not intended for children and we do not knowingly collect information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be highlighted on the site.
